Introduction

Arctik is a Brussels-based communication agency that puts sustainability first. We provide a broad range of communication services to European clients who focus on environmental and climate issues, circular economy, and sustainable development.

Your profile

We are looking for an experienced and hands-on Senior Event Manager with at least 5 years of proven experience in delivering complex events from A to Z. Fluent in both English and French, you combine strong organisational and client management skills with the ability to lead by example, remaining actively involved on-site and travelling when required.
You are comfortable managing in-person, hybrid, and fully virtual events, and thrive in fast-paced environments where attention to detail and problem-solving are essential. A natural team player and mentor, you enjoy coaching junior colleagues, sharing your expertise, and fostering a collaborative and high-performing team culture. With a proactive mindset and a keen eye for business opportunities, you are committed to delivering exceptional experiences that exceed client expectations.

Your responsibilities

Event management
  • Lead the end-to-end planning, coordination, and delivery of high-profile events, managing all phases from concept development to post-event evaluation.
  • Organise and oversee in-person, hybrid, and fully virtual events, ensuring seamless participant experiences across all formats.
  • Travel regularly to event locations and remain actively involved on-site to supervise operations, manage stakeholders, and ensure flawless execution.
  • Manage event budgets, timelines, suppliers, venues, production partners, and logistics to deliver projects on time and within budget.
  • Serve as the primary point of contact for clients, speakers, partners, and vendors throughout the event lifecycle.
  • Anticipate risks and proactively implement solutions to ensure successful event delivery under changing circumstances.
  • Collaborate closely with internal teams to align event objectives with broader organisational goals and client expectations.
  • Stay informed about industry trends, technologies, and innovations in event management, particularly in hybrid and digital event solutions.

People management

  • Lead, mentor, and develop junior team members, providing guidance, coaching, and ongoing performance feedback.
  • Foster knowledge sharing and support the professional growth of the team through training and best-practice implementation.
  • Ensure consistent follow-up, supervision, and quality control across all projects managed by junior team members.
  • Contribute to the continuous improvement of team processes, tools, and operational standards.

New business development

  • Identify opportunities to expand existing client relationships and contribute to business growth through event-related services.
  • Support proposal development, pitch preparation, and client presentations for new business opportunities.
  • Build and maintain strong relationships with clients, partners, suppliers, and industry stakeholders.
  • Monitor market trends and client needs to identify innovative event solutions and new service offerings.

Sustainability focus

  • Incorporate sustainable practices into event planning and execution, such as minimising waste, choosing eco-friendly suppliers, and promoting energy-efficient solutions.
  • Collaborate with clients and stakeholders to align event strategies with sustainability goals and initiatives.

About us

At Technopolis Group, we began our journey as pioneers in the evaluation of science, technology and innovation policies. While evaluation remains a cornerstone of our identity, we’ve evolved into a trusted partner for evidence-based decision-making across a wide spectrum of policy areas.

Today, our multidisciplinary experts offer strategic advice, forward-looking foresight, and robust project and network management, even in the most complex contexts. We combine cutting-edge data analytics with a deep understanding of policy to deliver insights that are both rigorous and actionable. From assessing policy effectiveness to measuring impact and communicating results to diverse audiences, we ensure clarity, relevance and reach.

We don’t believe in one-size-fits-all solutions. Instead, we collaborate closely with our clients to design tailored approaches that truly meet their needs.
Our work spans the globe and the governance spectrum, partnering with international institutions such as the European Commission and multilateral development banks, as well as with national, regional and local authorities. We also support universities, research centres, business networks, clusters, and incubators, helping them navigate complexity and drive impact.
