We seek to appoint an enthusiastic European Tenders Specialist to join the Business Development/Operations team.

The selected candidate will continue to develop experience in European tenders’ preparation and business development processes.
Possibility to strengthen a career in Business Development activities, collaborating regularly with the senior management of the company.
Knowledge of English in working proficiency as well as strong organisational skills and eye to details are a requirement.

Your profile

  • A minimum of 3 years experience in Business development and European tenders' preparation;
  • Good knowledge of the European Commission procurement rules and processes;
  • Excellent organisational skills, attention to detail, and the ability to prioritise effectively while managing multiple tasks and tight deadlines;
  • Excellent problem-solving ability and a proactive, solution-oriented mindset;
  • Excellent communication skills and the ability to act as a point of contact between internal experts, external partners, consortia, companies, universities, associations, clients, and high-level experts;
  • A service-minded, collaborative, and commercially aware approach, with professionalism, integrity, strong team spirit, and a strong sense of responsibility;
  • Ability to produce high-quality, well-structured, client-ready work;
  • Strong proficiency in Microsoft Office, particularly Word and Excel; proficiency in PowerPoint and Outlook is also expected;
  • Full proficiency of English in speaking and writing mandatory. Knowledge of French and any other EU language is a plus;
  • Self-motivated, able to work independently and in international teams.

Your responsibilities

The European Tenders specialist will support and coordinate the tender preparation process from opportunity identification to submission, ensuring compliance with administrative and technical requirements (mainly for EU clients). The tasks will include:
  • Assist with the administrative aspects of ongoing call for tenders:
    • Coordination of the collection of all administrative documents required for proposals preparation; 
    • Coordination of collection of evidences related to selection criteria (CVs, competence matrix, project references, etc.)
  • Liaise with internal experts, external partners, consortia, and subcontractors to gather inputs and ensure timely contributions and delivery;
  • Support proposal development through CV formatting, reference tracking, document preparation, and final formatting;
  • Monitor deadlines and follow up on the finalisation of tenders, including consistency checks across the technical, financial, and administrative proposal;
  • Ensure the tender compliance with all the requirements indicated in the ToR (annexes, page limitations, etc);
  • Ensure compliance with company templates, procedures, protocols, and systems;
  • Contribute to budget preparation and support financial compliance;
  • Submission of tenders to the client (EU portal, e-mail and/or hard copy);
  • Communication with the Clients during the tendering process (request for clarifications during the bid phase and before/after the award);
  • Managing the Teams/SharePoint site including the storage of the documents and access management; 
  • Assist the management with relationships with Consortium partners and Subcontractors;
  • Assist in identifying tender opportunities with EU and international organisations, including opportunities in new and existing markets, and support market intelligence activities
  • Assist the other members of the team with administrative tasks as needed.

The successful candidate will work as a full time member of the Business Development/Operations team in the Brussels office.
